Who this policy covers
This policy applies to VanKids Pediatric Therapy ("we", "us") and to information collected through this website. It does not cover the clinical records we keep about children receiving occupational therapy services — those are governed by our clinical records policy and by the standards of the College of Health and Care Professionals of British Columbia (CHCPBC).
As a private organization in British Columbia, we handle personal information in accordance with the Personal Information Protection Act (PIPA).
What this website collects
If you send us a message using the contact form, we collect the information you choose to enter:
Your name
Your email address
Your phone number, if you provide one
Your child's age, if you provide it
Whatever you write in the message field
Please do not send clinical details through this form
Email is not a secure channel. Please keep your message general — enough for us to understand how we might help and to get back to you. Do not include diagnoses, assessment results, medical history, or other sensitive health information about your child.
If you need to share something sensitive, call us at (604) 821-5136 and we will arrange a secure way to receive it.
Why we collect it and what we do with it
We use the information you submit for one purpose: to respond to your enquiry and, if you go on to become a client, to begin the intake conversation.
Messages are delivered to the clinic's email inbox. We do not sell, rent, or trade personal information, and we do not use it for advertising or share it with third parties for their own purposes.
Information about children
This website is written for parents and caregivers, not for children, and we do not knowingly collect information directly from a child.
Where you give us information about your child — most commonly their age — we treat it as information you have provided as their parent or guardian, and we use it only to understand your enquiry.
How long we keep it
Enquiries that do not lead to services are kept only as long as needed to respond, and are then deleted.
If you become a client, the information you sent moves into your child's clinical file and is retained under the record-retention requirements that apply to regulated health professionals in British Columbia.
Cookies and analytics
This website does not use analytics that profile individual visitors, and sets no advertising or tracking cookies of its own.
We use a privacy-preserving analytics service to count page views and to measure how quickly pages load. It sets no cookies, does not follow you between websites, and does not build a profile of you. Your IP address is used briefly to estimate which country a visit came from and to avoid counting the same visit twice; it is not stored with your visit.
Our clinic location is shown on a map embedded from Google Maps. Where that map loads, Google receives your IP address and may set cookies in your browser. If you would rather not load it, the clinic address is written out beside the map and can be opened in any maps application.
Service providers
This website is hosted by a third-party hosting provider, and form messages are delivered through a third-party email delivery service. These providers process information on our behalf and are not permitted to use it for their own purposes.
Some providers may store or process data outside Canada. Where that is the case, the information is still subject to this policy and to contractual protections.
Your rights
Under PIPA you may ask what personal information we hold about you, ask for a copy of it, ask us to correct anything inaccurate, and withdraw consent to our use of it — subject to legal and professional record-keeping obligations.

If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
Changes to this policy
If we change how we handle personal information, we will update this page and revise the date shown above.
